In this role you will: 

  • Partner closely with the Office Manager, providing support with tasks related to maintaining the office condition including; order and maintain office and kitchen supplies, submit and approve vendor invoices for payment, prepare workspaces for joiners/leavers, and mailroom management 
  • Arrange transportation and accommodation for employees 
  • Prepare and submit expense reports for senior team members 
  • Collaborate closely with our HR team to assist with on-boarding and off-boarding of employees  
  • Manage new starter/PPE inventory and the master employee list 
  • Manage phone account for new employees including replacements, upgrades and generating reports 
  • Send printing requests to the printing company and arrange the delivery to employee’s place of work 
  • Act as the primary point of contact to coordinate employees who work on specific projects 
  • Coordinate visa requests between our partner legal firm and our employees 
  • Manage timesheet compliance reports & communications 
  • Submit and manage requests made to building management for any office issues  
  • Organize and coordinate the staff recognition program and employee events as part of our DE&I and CSR program 

We would love to hear from you if you: 

  • Must be fluent in Dutch/English
  • Have 1-3 years’ experience managing office operations 
  • Are an excellent communicator verbally and in writing  
  • Have a working knowledge of Microsoft Office suite (Outlook, Teams, SharePoint, Visio, PowerPoint, Excel, Word) 
  • Thrive on building strong relationships at all levels through a shared purpose and sense of openness and fun
